Privacy Policy

How we collect, use and protect your information.

Eethal Idhayam Arakattalai (“ஈதல் இதயம் அறக்கட்டளை”, the “Trust”, “we”, “us” or “our”) is a non-profit charitable organisation. This Privacy Policy explains how we collect, use, store and protect your information when you use the Eethal Idhayam mobile application (the “App”) and our website eethalidhayam.org (together, the “Services”). By using the Services you agree to the practices described here.

1. Who we are

Eethal Idhayam Arakattalai is a registered charitable trust based in Tenkasi, Tamil Nadu, India. We operate the App and website to manage volunteer membership, activities, events, certificates and donations for our social-service work. We are the data controller (data fiduciary) responsible for the information described below.

2. Information we collect

We only collect information that is necessary to run our programmes, and only with your permission where the device requires it:

  • Account & profile details — name, mobile number, email address, password (stored securely/encrypted), occupation, membership details and role within the Trust.
  • Photos & images — pictures you choose to upload as proof of volunteer activities, profile photos, or event documentation.
  • Camera — used to capture activity photos and to scan QR codes for event check-in and membership verification. The camera is only accessed while you are actively using these features.
  • Location — approximate and/or precise location is collected, with your permission, to tag where a volunteer activity or event check-in took place. Location is used only while the relevant feature is in use; we do not track your location in the background.
  • Push notifications — with your permission we register a device push token (via Firebase Cloud Messaging) so we can send you activity approvals, event reminders and important updates. You can turn notifications off at any time in your device settings.
  • Technical data — basic device and log information (app version, error logs) needed to keep the App secure and working.

3. How we use your information

  • To create and manage your membership account and profile.
  • To record, review and approve volunteer activities and event participation.
  • To generate membership cards, certificates and QR codes.
  • To verify attendance at events through QR check-in.
  • To send you relevant notifications and updates.
  • To process and acknowledge donations.
  • To maintain the security, integrity and proper functioning of the Services.

4. Permissions — you are in control

The App requests access to your camera, photos, location and notifications only when needed, and always with your explicit consent. You may decline or later revoke any of these permissions through your device settings. Some features (such as QR check-in or photo-based activity proof) may not work if the related permission is denied.

5. How we store and protect your data

As a Trust, we maintain the database and all user details ourselves on our own secured servers. Data is transmitted over encrypted (HTTPS) connections, sensitive fields are encrypted, and access is restricted to authorised personnel on a need-to-know basis. We apply reasonable technical and organisational safeguards to protect your information against unauthorised access, loss or misuse.

6. We do not sell your data

We are a non-profit NGO. We do not sell, rent or trade your personal information to any third party for business or commercial purposes. We do not use your data for advertising.

7. Limited service providers

We use a small number of trusted service providers only to operate the App — for example Google Firebase Cloud Messaging to deliver push notifications, and a payment gateway to process donations securely. These providers process data only on our instructions and only to the extent needed to provide their service. We do not share your data with them for their own marketing.

8. Data retention

We keep your information for as long as your membership is active or as needed to provide the Services and meet legal, accounting and reporting obligations. When data is no longer required, it is deleted or anonymised.

9. Your rights

Subject to applicable law (including India’s Digital Personal Data Protection Act, 2023), you may request to access, correct or delete your personal data, or withdraw a consent you previously gave. To do so, contact us using the details in Section 12. You can also delete your account from within the App or by contacting us, after which we will remove your personal data except where we are required to retain it by law.

10. Children

The Services are intended for volunteers and supporters. We do not knowingly collect personal data from children without appropriate consent. If you believe a child has provided us data without such consent, please contact us and we will remove it.

11. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be available on this page with a revised “Last updated” date. Significant changes will be communicated through the App or website.
